1. What number do I use to log into The DUCK?
You should use your LakerID as your User ID for The DUCK, Clayton State’s Student
Access System. To assist current students and faculty during this
transition period, The DUCK will accept both your new LakerID as
well as any previous ID through the end of Spring Semester 2006.
After that date, only the LakerID will work as the User ID in The
DUCK

2. Will my
PIN change?
For added security, the
requirements for the secret PIN will be strengthened. New
restrictions will exclude PINs that consist of all
consecutive numbers (ex: 123456 or 987654), PINs which consist of
all the same number (ex: 111111), and PINs that contain alternating
numbers (ex: 151515 or 808080). If your PIN does not meet
the new requirements, you will be allowed to use your old PIN once
for the initial login following conversion, but you will be required
to immediately change your PIN to one that meets the new
requirements. If your PIN meets the new requirements, you will not
be prompted to change it, although you may choose to do so. For
your protection, please DO NOT write your LakerID# and secret
PIN in the same location!
The HUB can answer
questions by phone about changing your PIN, but they are restricted
from changing your PIN for you. The HUB can assist with changing a
PIN when a student visits The HUB and presents photo ID.
3. What is
the difference between my Employee ID (EmplID) and my LakerID?
Your Employee ID
is an automatically assigned number which identifies you in Clayton
State University's PeopleSoft Human Resources/Payroll system (HRMS).
The LakerID is a unique number which identifies you across multiple
systems at Clayton State.

4. Will my
LakerID appear on my paycheck?
No. Your
PeopleSoft Employee ID (EmplID) will still be used in Human
Resources/Payroll and printed on your paycheck.

5. Will the
LakerID impact retirement and insurance records?
No. The LakerID
will not be used as an identifying number for reporting to
retirement systems or insurance companies. It is still necessary to
use SSNs for these purposes.

6. How will
the University use my Social Security number?
Clayton State
University complies with all legal requirements for use of SSNs. Your SSN is
handled in a confidential manner and when the conversion is
complete, the SSN will not be published or requested as the primary
identifier to access records in University systems. It will only be
used for mandated business functions such as tax reporting to
federal and state government agencies. It will also be used in
conjunction with insurance and retirement programs, University
System of Georgia Board of Regents reporting, and other official
University business activities where necessary.

7. Why do we
need a University policy for the protection of Social Security
and Personal Identification Numbers?
In response to
the growing concern regarding identity theft and for the
confidentiality of individual SSNs, Clayton State has established a
project team, with both functional and technical campus
representatives to implement a unique, non-SSN campus identifier for
students, faculty and staff, and other constituents needing such an
identifier. As part of that effort, the University administration
has adopted a
Social Security and Personal Identification Numbers Security Policy
to clearly inform and direct campus units on the proper and
improper collection and disclosure of Social Security numbers. It
is the intent of the University to take the necessary precautions to
protect the identity of all of its constituents.
It is important
to note that an individual's Social Security number, where
appropriately collected, will remain a part of every individual's
official records, as it will be required for certain business
processes and services, like payroll and student financial aid. It
is the University's intent to protect this confidential information
for all individuals by informing all constituents how the number
will be used.

8. If I am a
new student, how do I get a LakerID?
New, transfer
and graduate students will receive their LakerID information from
either the Admissions Office at Orientation.

9. How do I
get a LakerID as a current student or employee?
Current faculty,
staff, and students will have a LakerID automatically assigned to
them as part of the conversion process. Once implemented, there
will be a web-based mechanism that allows all students, faculty, and
staff to find their LakerID.

10. What is
the University System of Georgia Board of Regents doing about the
use of SSNs for all system institutions?
The Board of
Regents issued the document "Protecting Student Identity -
Principles for Good Practice" in August 2002. This document states:
"Currently all 34 institutions, under Board of Regents policies and procedures use
the Social Security number as the primary student identification
number. Beginning Summer 2003, institutions are encouraged to
implement the necessary business practices and procedures to replace
the use of the Social Security number as the primary student
identification numbers. USG institutions will be expected to
continue requesting and maintaining the Social Security number as
part of the student record. It is anticipated all USG institutions
will complete the transition by 2005."
"Institutions
should have clearly defined policies and procedures on the
generation and maintenance of student identification numbers and the
collection and use of the Social Security Number. These policies
should be developed within the governance structure of the
institutions and should be included in student, faculty and employee
handbooks."
"The federal law
prohibits institutions from requiring students to provide their
Social Security number; however, the law does not prevent or
discourage institutions from requesting and maintaining the Social
Security number a part of the student record."
"Institutions
are encouraged to clearly document why the Social Security number is
being requested, how and when the number will be used, and to whom
it can be disclosed. A statement should be printed on the admission
application and in the student handbook."

11. Do I need
to obtain a new ID card, which contains the LakerID number?
Eventually, all
LakerCards will be replaced with a card which will have your LakerID
number printed on it for your convenience. This replacement card
will be provided at no cost to the cardholder. Subsequent
replacement cards will be provided for a $5.00 replacement fee.
At this time,
various methods of re-carding the campus are being considered. When
the process has been determined, the campus will be notified.
Please note that
current LakerCards do not have the SSN printed or encoded anywhere
on the card.

12. Can grades be posted using the LakerID?
NO. Grades
should never be posted using the LakerID or the SSN. Student
information cannot be posted using "personally identifiable
information" as defined in FERPA. According to federal regulations,
"Personally identifiable information" includes, but is not limited
to:

The student's name;

The name of the student's parent or other family member;

The address of the student or student's family;
-
A personal identifier, such as the student's Social Security number
or student number;

A list of personal characteristics that would make the student's
identity easily traceable; or
-
Other information that would make the student's identity easily
traceable.

13. How will
this affect my LakerCard Account?
Your LakerCard
Account will be unaffected by any of these changes.
