LakerID# Update

 

On Mar. 6, 2006, Clayton State will be performing our Social Security Number (SSN) conversion required by the Board of Regents. Following the conversion, we will no longer be using the SSN as the primary look-up number for people in systems. The LakerID# will become the primary number by which students, faculty, and staff records are accessed in Banner, the LakerCard system, the Library system, and other systems and databases across campus.  Here is some important information to keep in mind:

  • Conversion is scheduled for Mar. 6 (first day of Spring Break)
  • During the conversion, Banner access will be unavailable
  • All employees will be required to complete the online SSN Usage and Protection Awareness. Training will be available online Feb. 27; more information coming soon
  • Unless required by Federal law or by Board of Regents policy, all printed and online forms which currently request the Social Security Number (SSN) must be changed to request the LakerID#
  • The SSN may not be requested verbally from a student or a faculty/staff member to access a record
  • Grades may not be posted visually by using the SSN or any part or variation of the SSN
  • A LakerID# look-up facility will be available online immediately following the conversion.  This link will be sent in an email when the conversion is complete

Team Moves Ahead with SSN Conversion Project

 

Clayton State’s SSN Conversion Team, the team responsible for issuing unique identification numbers to reduce the university’s dependence on Social Security Numbers (SSN), recently received conditional approval from the University System of Georgia’s Board of Regents to proceed with the conversion process.

 

According to project manager Norman Grizzell of Auxiliary Services, the final approval from the Board is expected soon and the team is moving ahead in its efforts to prepare the campus for the conversion.

 

To keep the University’s students, faculty and staff updated on the SSN Conversion Team process, Grizzell presents the following details on the project’s status.

  • The conversion target date is Mar. 6, 2006. This will allow the team to complete the conversion and make sure all is well prior to 2006’s summer and fall registration.

  • The new unique number will be called the LakerID Number, not to be confused with the LakerCard.

  • A new policy to protect SSNs is in the works. Upon its completion, each department on campus will receive a copy of the policy and will be responsible for adapting their office policies, procedures, documentation and forms to be in compliance.

  • SSNs are no longer the primary look-up. As of the conversion date, the SSN must no longer be used as the primary look-up for a student, faculty or staff member. The SSN should not be requested from any campus member on any form to provide any service unless where required by federal or state law or by the Board of Regents. Only the LakerID Number may be requested.

  • SSN Protection Awareness Training will be available. Prior to the conversion, departments will have the opportunity to learn about the new policy through training, most likely online.

Unique ID Numbers to Replace Social Security Numbers in Campus Systems

In compliance with a mandate from the Board of Regents issued to University System of Georgia institutions,

Clayton State will begin issuing unique identification numbers to its students, faculty and staff, reducing its dependence on Social Security Numbers (SSN) for accessing records and information. The target for issuing this unique identifier is spring 2006.

A SSN Conversion Team has been created to guide Clayton State through the conversion process. The team will evaluate current uses of SSNs and will determine the solutions necessary for a smooth transition to the new nine digit unique identifier.

The team, which assembled for the first time on Thursday, Oct. 20, is now taking the first of several steps in the conversion process: writing the project plan. This plan will then be submitted to Clayton State President Dr. Thomas K. Harden and Vice President of Information Technology and Services Dr. John Bryan. Once Harden and Bryan approve the plan, it must then be approved by the Central Office of the Board of Regents as well as the Office of Instructional and Information Technology (OIIT).

“Switching from a system that uses SSNs to a system that uses a unique identification number will better protect the identity of our students, faculty and staff,” explains Auxiliary Services’ Norman Grizzell, project manager and one of the 15 team members that comprise the SSN Conversion Team. “Under the new system, SSNs will be used only where required by law or business practices.”
