Fee Payment Procedures
**Please note: all matriculation charges or other charges are subject to change before the beginning of any semester without prior notice.
Payment of fees may not be deferred, and all are due and payable upon registration.
Refer to the Semester Schedule of Classes or the DUCK at http://duck.clayton.edu for the most current information concerning fees.
Important Note: The first class day of the semester is defined as the first day of the semester as listed in the Schedule of Classes regardless of when the first meeting of any given section of class is actually held.
Methods of Payment
FIVE WAYS TO PAY: There are five convenient ways to pay your bill. Always click “How Much Do I Owe” on the DUCK to see your balance. Please remember that any balance still due after financial aid has been applied must be paid by the student in accordance with normal payment rules and deadlines.
- Pay by Financial Aid/Scholarship (if applicable). If you have financial aid (including certain loans) or Clayton State University-administered scholarship, and it has been officially awarded, it will show on the DUCK as a credit to your account. If the financial aid or scholarship covers all of your tuition and fees, then your account is considered paid. If you still owe a balance after financial aid or scholarship has been applied (or if your financial aid or scholarship has not yet been credited to your account), then you must pay the balance due by one of the methods below.
Important Note: if you are expecting financial aid or scholarship but it has not been officially awarded by the payment deadline, you must make full payment from personal funds or your classes will be dropped. In most cases, you will be reimbursed later when your financial aid is officially awarded.
- Check your award on the
DUCK. The amount of scholarship funds and financial aid (including loans) applied to your account will show. (If a faculty/staff member registered you, it is still your own responsibility to log on to the DUCK and click the “How Much Do I Owe” button.) Once you have refer to the DUCK, proceed according to which of the following categories applies to your personal situation:
- Balance Due: If you have a balance due after financial aid and/or scholarships have been applied to your account, you must pay the balance in full in accordance with normal fee payment procedures and deadlines. If you fail to pay the balance due by the appropriate deadline, your registration will be cancelled.
- Additional funds in account. If your account includes funds for books and/or living expenses above and beyond required tuition and fees, a credit of up to $700 of financial aid not applied to tuition and fees will be placed in a book money account on your Laker Card for Campus Store use only. This credit is only available by using your Laker Card at the Clayton State University Campus Store at posted times. (Laker credit cannot be used at the Clayton State University e-store.) Note: If a change in registration decreases your financial aid eligibility below the amount you purchased, you will be billed for the difference. You must pay the bill or return the merchandise in its original packaging and condition.
Any amount remaining on your Financial Aid account that was not used to pay fees or make Campus Store purchases during the allotted time of the semester will be refunded to you by Higher One. The refund process will begin after the last day of schedule adjustment period and will take 14 business days to process. (PLEASE DO NOT CONTACT THE BURSAR'S OFFICE DURING THIS PERIOD CONCERNING YOUR REFUND BECAUSE SUCH INTERRUPTIONS DELAY PROCESSING.) Please refer to the DUCK for your balance.
Your refund will be delivered by Higher One. Choose your refund preference at www.claytonstateonecard.com. Please be advised that ALL residual or refund refunds are delivered to you by Higher One. If you have trouble receiving your mail, please notify your post office at once. If you have moved recently and can't remember if you changed your college mailing address, please check your address on the DUCK and Higher One and make the necessary changes so the post office can deliver your mail in a timely manner.
Please Note: Your refund is very important to us. We want you to receive your refund without delay and depend on you for making the proper changes correctly on the DUCK and Higher One. - No balance due: no additional funds in account. If your financial aid and/or scholarship covers all tuition and fees but no more, then you are considered paid in full, and no further action is necessary.
- Check your award on the
DUCK. The amount of scholarship funds and financial aid (including loans) applied to your account will show. - Pay by credit/debit card or check using the DUCK. Please refer to the DUCK for your balance. Follow the instructions at that point if you wish to pay your balance by credit card. Visa®, MasterCard®, American Express® and Discover Network Cards® are accepted. Please be assured that Clayton State University has adhered to the highest industry standards for the security of electronic payments.
- Pay in person at the Bursar’s Office. You may pay in person by cash, checks, money order, or credit card in the following places:
- Bursar’s Office in the upper level of the Student Center, Room # 278
- Monday & Tuesday 8:00 a.m. - 7:00 p.m.
- Wednesday & Thursday 8:00 a.m. - 5:00 p.m.
- Friday 9:00 a.m. - 2:00 p.m.
- Offices hours vary during registration, holidays and semester breaks. Check with us during those times for updated office hours.
- * The office will close at 5:00 p.m. when classes are not in session.
- Pay at a secure drop box. (checks, money order, or credit card –
NO CASH! Special credit card forms are available at the drop boxes).
Note: Unfortunately, we are unable to accept personal checks during late registration and the schedule adjustment period.
- Business Administration Building (just inside the east door)
- Payments must be in the drop box by the payment deadline.
- Pay by mail. Mail check or money order (NO CASH!!) to the address below. The fee payment deadline is based on when payment is
received by Clayton State University -- not by the postmark date. Send mail to:

- NOTE: Returned Check Policy: If a financial institution declines payment of a personal check tendered by a student and returns it to the University, the student will be charged a $30.00 NSF fee. If the student's check was written for tuition/fees and is returned insufficient, the student will be assessed a late payment fee of $100.00 in addition to the $30.00 NSF fee. Students who fail to clear their financial obligations within 10 days of being notified will have their registration cancelled. A stop payment of a check does not constitute a formal withdrawal from the University or cancellation of registration and is considered a returned check. Those students who place stop payments on their tuition/fee payments will have their registration cancelled immediately. Students who tender "bad" checks may be placed on a "cash only" restriction. Official transcripts will not be issued for students whose accounts in the Bursar's Office are said to be delinquent. If necessary, legal action will be initiated by the University for the collection of debts. Georgia Law mandates that the University collect outstanding charges promptly. Clayton State University reserves the right to refer these debts to an outside agency for collection and requires the debtor (student) to pay any cost incurred during the collection process.

- Bursar’s Office
Check Cashing Policy
As a convenience to Faculty, Staff, and students, the Bursar’s Office provides check cashing privileges to Clayton State University employees for checks up to $50.00 and students for up to $10.00. Check cashing is subject to the following guidelines:
- When cashing a check in the Bursar’s Office, the check must be made payable to CASH.
- Any employee may cash one check per day up to $50.00 at the Bursar’s Office window. Students may cash one per day up to $10.00.
- Employees or students must always show one form of identification (valid student ID or drivers license)
- The following types of checks will not be accepted:
- Post-dated checks
- Counter checks
- Starter checks
- Credit card checks
- Third party checks
Check cashing is a privilege, and is subject to being revoked if the privilege is abused. More than two returned checks for an employee will result in the permanent suspension of check cashing privileges on campus. Students will have a “cash only” hold placed on their record and will no longer be able to conduct any business on campus by check, including payment of tuition, fees, and books.
Personal checks written for cash to the Bursar’s Office must be sent to the bank immediately. No exceptions! No employee or student of the university may at any time ask or request special favor of holding a check for a set amount of time. This violates university cashiering and federal banking policies. GA House Bill 1113 which passed into law, states that the misuse of state funds for personal benefit will be grounds for termination, fines, and or imprisonment. It also addresses employees assisting others in violating the law. All parties involved are guilty.
Death and Military Refunds
A refund of all tuition and fees (except those specifically identified as non-refundable) shall be made in the event of the death of a student at any time during an academic semester. (Contact the Registrar’s Office for details.)
Military students are entitled to a full refund of tuition and fees paid for a semester of enrollment in the following cases: (1) students who are members of the Georgia National Guard or other reserve components of the Armed Forces who receive orders to active military duty after the first day of classes, and (2) military personnel on active duty in the Armed Forces who, before the end of their present station assignment, receive emergency orders for a temporary or permanent change of duty location. (Contact the Registrar’s Office for details.)
Bad Check and Delinquent Account Policy
If a financial institution declines payment of a personal check tendered by a student and returns it to the University, the student will be charged $30.00. If a student check used for payment of registration fees is returned, the student will be assessed a late registration fee in addition to the service charge. A stop payment of a check does not constitute a formal withdrawal from the University or cancellation of registration and is considered a returned check. Official transcripts of credit will not be issued for students whose accounts in the Bursar’s Office are held to be delinquent. If necessary, legal action will be initiated by the University for the collection of debts. Students who submit bad checks may be required to pay by other methods in the future.

If you need an official printed copy of your bill and/or schedule before you pay, you may obtain one from the Office of the Registrar (Student Center Room 239) or the Bursar's Office (Student Center 278). You may also see your registration, balance due, and the Fee Schedule on the DUCK.
